As an Executive Assistant to the CEO, you will be responsible for effectively coordinating a complex and ever changing calendar of meetings, travel, and events as would a personal concierge. The ideal candidate will be well spoken, self-sufficient, and extremely organized. Additionally, he or she must have an excellent judgment to properly prioritize multiple and potentially competing requests.

Overall responsibility will be to support the MD's business and personal calendar, administrative tasks, and making his days run smoothly. Responsibilities include

Timely and accurate coordination of internal and external meetings, including logistical details, communication, and follow-up, ensuring no detail overlooked

·         Coordinate travel arrangements both domestic and international, requiring an understanding all aspects of the itinerary, including personal preferences with restaurants, amenities, and other activities

·         Calendar management — professional and personal, this would include:

·         personal care appointments

·         vehicle maintenance

·         Proactively and frequently check in with CEO, particularly available and responsive while he is on the road

·         Accurately update contact information in Outlook and CRM database

·         Personal and special projects as directed

Desired Skills, Background, & Qualifications

· 5+ years Executive Assistant or Personal Assistant experience

·         Proficient in MS Office Suite (Word, Excel, Outlook, and PowerPoint)

·         Highly organized with strong attention to detail; demonstrates accuracy and thoroughness

·         Exceptional verbal and written communications skills

·         Proactive and self-motivated able to anticipate the needs of others

·         Ability to juggle multiple assignments and prioritize effectively; demonstrates sense of urgency

·         Manages competing demands well; able to deal with change, delays, or unexpected events

·         Ability to follow process and procedures; looks for ways to improve and promote quality

·         Self-starter, able to work independently and as team player, able to successfully collaborate across office and departments

·         A positive, enthusiastic approach to work and collaboration

·         High degree of professionalism and reacts well under pressure

·         Punctual and 100% dependable

·         Resourceful and can anticipate problems and develop solutions in a calm and efficient manner

·         Trustworthy and high integrity, competent at handling confidential and sensitive information with discretion

·         Forward thinking– research and suggest downtime activities, events, restaurants wherever the CEO may be travelling
