 Job Summary

The incumbent will be responsible for the smooth running of the office while ensuring efficiency and adherence to the standard operating procedures existing in all departments.

Job Responsibilities

Office Management

  • Oversees and administers the day-to-day activities of the office.
  • Provides assistance and support to all departments on project planning, management, and execution of stated goals and objectives.
  • Provides assistance in the interpretation of company policies and procedures, as appropriate, and ensures that office operations are in compliance with policy provisions and standards.
  • Develops and continually update policies, procedures, and systems which ensure productive and efficient operation.

Vendor Management

  • Choose vendor for projects based on quality of product/service, quotation and other vital factors.
  • Discuss projects to be executed with vendor, and properly manage all documents involved in the vendor engagement.
  • Inspect projects upon completion to track vendor’s compliance with initial agreement.

Facility Management

  • Ensure offices are stocked with necessary supplies, and that all equipment is functioning properly.
  • Oversee the periodic maintenance, repair and servicing of all equipment.
  • Ensure that the overall conditions of the building and equipment are in compliance with health, environmental and security standards.

Internal Communications and Logistics

  • Send out memos to disseminate general information to staff members.
  • Convene town hall meetings for staff members upon instruction.
  • Plan and schedule general events and meetings; make arrangement for venue, and send reminder memos to staff members.
  • Responsible for making arrangements for courier and deliveries.


  • Prepare regular reports for departmental expenses, so as to show funds are being used efficiently and according to budget.
  • Organize a filing system for important company documents like receipts, invoices, etc. 


  • Minimum of a Bachelor’s degree in Public administration, Business administration or any relevant field.
  • Minimum of 2 years managerial experience.
  • Strong knowledge of office procedure.
  • Experience in facility management.
  • Strong attention to detail.
