Responsibilities:

1.       Client Bookings/Scheduling

·         Responding to telephone bookings and email bookings and scheduling them appropriately via our scheduling app

·         Sending reminder emails/phone calls to clients about their scheduled appointments

·         Responding to Instagram DMs and enquiries and other email queries from potential business partners, stockists, vendors or suppliers (escalate to management where unsure)

·         Regularly checking in on clients to see how their hair is feeling and to schedule their next salon appointment

2.       Client Record Keeping

·         Keeping records of all clients’ hair treatments in the client’s record card.

·         Ensuring record cards are updated for all clients

·         Keeping a database of all clients’ telephone numbers and email addresses

3.       Customer Service

·    Sending Birthday vouchers to clients on their birthdays (via email)

·         Offering all clients snacks, water and tea while at Hairitage

·         Ensuring clients are comfortable while at the salon

·       Escalating client complaints to management (where necessary)

4.       Product Stock Take & Management

·         Managing products and ensuring that products are not over used by staff

·         Ordering and replenishing stock when low whilst keeping track of what products are low in stock and needs to be re-ordered.  Stock check to be completed weekly.

5.       Finances

·         Daily book keeping, and weekly reconciliation of accounts (revenues and expenditure)

·         Charging clients accurately for services completed and taking payments from clients

6.       Employee Management

·         Managing employees schedules and performance

·         Managing and Co-ordinating employees by ensuring that the code of conduct is adhered to - including coming to work on time, wear appropriate uniforms at all times, when in the salon.

·         Ensuring that daily attendance is taken and properly signed.

7.       Hygiene Management

·         Oversee salon conditions in terms of appearance, cleanliness and safety

·         Ensuring a world-class, hygienic environment at all times. Ensure cleaner cleans and sweeps at all times

·         Ensuring that all towels are well laundered by the cleaner

·         Ensuring staff wash hands, combs and tools when moving from one client to another

Requirements/Competencies

·         A BA/BSc degree in Business Administration, or any relevant field

·         Ability to handle customers’ requests and complaints with grace

·         Computer skills- working knowledge of Microsoft word and excel

·         Strong Interpersonal skills & an Upbeat Personality

·         Leadership skills (ability to lead by example)

·         Ability to work under pressure and multi-task

·         Excellent organizational skills

·         Basic book keeping knowledge

·         Proven work experience as a hair salon manager/ similar managerial role

·         Good knowledge of healthy-hair care practices (will be an added advantage)
